Registration with a non-Flemish diploma

If you have obtained your secondary school diploma at an institution outside the Flemish Community, you cannot register immediately. Not even if you are Belgian and/or Dutch-speaking. You first need to apply for admission.

Deadlines for submitting an application for admission for academic year 2024-2025

  • 1 May 2024:
    Non-EEA nationals who do not hold a Belgian residence permit valid until 31 October 2024 or longer.
  • 15 August 2024:
    EEA nationals and non-EEA nationals who hold a Belgian residence permit valid until 31 October 2024 or longer.

Applying for admission for academic year 2024-2025 is possible from 1 February 2024. (For Dutch-taught programmes, please check the deadlines on our Dutch website)

    a) Create an account or log in

    If this is the first time you are applying to an institution part of the KU Leuven Association, you should first create an account. If you already have a KU Leuven Association account, you can log in immediately.

    b) Complete your personal data

    To start your application you need to log into the online application.

    Then fill in your personal data (personal details, addresses, curriculum and language skills). Fields marked with an * are mandatory. After saving your data, return to the main page ('<' button at the top of the page) and check that each section is complete.

    If you already have a KU Leuven Association account, your personal data will be filled in automatically.

    Start an application

    • Add an application by clicking on the '+' button in the 'Applications' section on the main page of the web application
    • Choose the type of programme
    • Select the academic year
    • Choose the specific programme by using the search tool
    • Complete any additional information that is requested
    • Save the data
    • You now automatically return to the main page

    To proceed, please click on the Edit button (pencil button) on the right side of your application.

    Upload your documents

    You must now upload all the required documents as attachments in the 'Documents' tab. 

    Attach each relevant document in PDF/JPEG format by clicking on the arrow button next to the corresponding document type. 

    Once you have uploaded all documents you can submit your application.

    Submit your application

    The 'Submit' button is only activated after you have accepted the disclaimer. 

    If one or more of the requested documents are missing, you will receive an error message. Please upload the required documents before submitting your application again. 

    If you wish to update your personal data after submitting your application, please contact us.

    Once you have submitted your online application, you have completed Step 1. Please proceed to Step 2.  

Step 2: Send the required documents by postal mail

Once you have submitted your online application, please send a certified copy of your secondary school diploma by postal mail or international courier to the below address. If your diploma is not issued in English, Dutch, French or German please also send us a certified copy of the translation. 

A certified copy is a copy that has been legalized by the awarding institution (secondary school, (university) college, university), a Belgian municipality, or a copy with an Apostil of the Hague.

The following categories do not need to send us any documents by postal mail:

  • Applicants who still need to complete their secondary school studies at the time of application. Please upload your intermediate transcripts, as well as a document issued by your school that states that you are expected to graduate before the start of the 2024-2025 academic year, as part of your online application. 
  • Applicants with an equivalence certificate from NARIC Vlaanderen. Please upload your equivalence certificate as part of your online application.
  • Applicants whose diplomas can be verified online. Please provide us with the necessary information to verify your diploma online. 

Please note that your application will only be assessed once we have received your online application as well as the required documents by postal mail.

Step 3: Follow up of your application file

Once you have successfully submitted your online application you can follow up the status on the main page of the web application. The approval process consists of several steps and takes between 2 days and 3 weeks from the time we have received your complete application file (online application + certified copies).

During this period, the following statuses may appear:

  • Submitted: Your application will be checked for completeness.
  • Incomplete: If any documents are missing the admissions office will contact you by email. You will have to upload the missing document and resubmit your application.  
  • Resubmitted: Your application will be checked again for completeness. 
  • Application complete: All necessary documents have been received, the evaluation is in process. 

As soon as a decision has been taken concerning your application, the status will change into :

  • Admission letter uploaded: If you have been admitted to the programme.
  • Rejected: If you have not been admitted.

You will also receive a confirmation of the decision by email. If you are admitted, carefully read the instructions in this email on how to complete your registration at Odisee. 

Please advise us if you require a visa to come to Belgium as you will need an additional embassy letter for  your  visa application

FAQ

No, this is not possible. Your file will only be assessed when you submit your application via the online application module and send us the required documents by postal mail. 

Certified copies are copies of the original documents that are certified with an original stamp and signature to confirm that they are in line with the originals. You can have your diploma/transcripts certified by the educational institution that issued them or by a Belgian municipality. We also accept copies with an Apostille of the Hague attached.

Photocopies (in colour) are not sufficient, you need to send us the actual certified documents.

Yes, if you are expected to graduate before the start of the 2024-2025 academic year but still need to complete your secondary school studies at the time of application you can already apply for admission.

Please upload your intermediate transcripts, as well as a document issued by your school that states that you are expected to graduate before the start of the 2024-2025 academic year, as part of your online application. There is no need to send us any documents via postal mail at this time. Please note that your final transcripts and a certificate of graduation will need to be presented upon enrolment.

The application fee is one of the application requirements for non-EEA nationals without a long stay residency in Belgium (long stay = residency card of 5 years).  Applicants with an EEA-nationality do not have to pay the application fee.

The application fee can only be paid online or by bank transfer. You cannot pay by cheque, in cash or by card on campus.

Yes, this is a general admission requirement. Only certain applicants are exempted.

From the moment we receive your complete application file (online application + required documents by postal mail) to the moment you receive an outcome on your application, it takes between 2 days and 3 weeks.

Please note that due to public holidays this estimated time may be longer. Also bear in mind that Odisee University college is closed from 11 July till 15 August 2024, no applications will be handled during this time.

Upon registration at our university college, you will receive an invoice from the Student Administrative Services Centre for the fixed part of the tuition fee. Payment must be made within a few weeks. Paying the fee is only possible by bank transfer. The Registrar’s Office does not accept payment by cash, cheques or credit/debit card.

Once you have registered your individual study programme you will receive a second invoice by email for the variable part of the tuition fee. 

The transferring of credits is not possible.

Exemptions can be granted when the content of the courses you obtained credits for matches with the content of the BBM courses. Before we can give you an indication of your exemptions we first however need to establish that you meet our admission requirements, and receive and assess your complete application file. (Please note: official exemptions can only be granted upon enrolment.)
